How can I be responsible for a transaction return claim with another seller's item ??

I hope for advice from my fellow sellers.

 

I sold to a ship forwarding company in California 30 Stamp Sheet.

order is still in transit.

 

The forwarding company/buyer informed me to write a specific registration number on the parcel, which I did.

Few days after I sent the order ( Order still in transit )  I received from buyer/forwarding company, return claim “Wrong item”

 

On the buyers/forwarding comp. return claim, was 3 Scan of a postcard, from another seller and Envelope with the same registration number as the forwarding/buyer informed me to write on my parcel

 

Due to the information on the received 3 Scan, I have been able to track the transaction on the postcard sale. With the seller's user name sales date and price.

 

When I contacted my buyer/forwarding company and informed that the registration number they asked me to write on my order, was the same as from the postcard seller.

They would not accept my information’s. and documentation.

 

I tried in several messages to give the buyer as much information and arguments, documentation, that the 2 registrations numbers must be a mix-up, but to no use. The last information I received from the buyer was, I have to accept the return claim.

 

A few hours later I received a message from eBay “ Thanks for accepting the return of 30 Stamp Sheets” … which I for sure did not accept.  ( As informed my order still in transit )

After eBay “Thanks for accepting return”  the buyer/forwarding comp. stopped responding to my messages.

 

If the buyer should return my order the 30 sheet back to me, the original buyer in Japan cut/will contact the forwarding company in California and due to the buyer has paid, a new claim “Not received” cut/will be filed against me, for the same item.

 

After trying most of a day  I was able to send eBay support an email.

Yesterday I received a response back from eBay support with basically, information on eBays return policy. Not in anyway response to any of my concerns.

Based on eBay support response, I have tried many hours to email eBay, but been unsuccessful

 

How can I be responsible for a transaction return claim with another seller's item, when I followed the buyer's request to write informed identification number on the parcel  ??

 

In all fairness, over the years, I have been doing lots of business with the buyer without any problems/issues.

 

Your advice will be highly appreciated

To confirm...there are a couple of different types of forwarding companies. It sounds like you are dealing with one that buys the items for their clients and then forwards them on and you don't ever deal with the person in the other country...only the company in North America. Does that sound right?

 

The registration number on the front of the envelope could be the ID code for a particular buyer. If that's the case, it is possible that the other envelope in the picture was for the same buyer. 

It's not clear to me whether the item that they are now showing you is still with the forwarder or if the international buyer already has it but regardless, you are responsible to provide a return label from the same address that you sent the package to. 

 

Have you tried sending a copy of the postcard listing to the buyer showing that it was from another seller?

 

Unfortunately talking to ebay isn't going to help as when a buyer files an item not as received they approve the return and don't look at any evidence. So your only current options are to refund without a return, send a return label and refund upon return or do nothing and wait until ebay steps in.  The last option will still result in you giving a refund and receiving a defect on your account.  If the wrong item is sent back which seems likely, you can report the buyer and probably be eligible to give a partial refund.  The partial refund is a new thing announced in the last seller update, click on the following link to see the info and scroll down to 'additional protection overview'.

You can't have an item not received claim filed against you if you have already refunded for a wrong item sent claim.

 

Hopefully your stamps will eventually end up with the buyer in Japan and then they will repay you.  I've found Japanese buyers to be extremely honest.

Just had another thought....Do you have tracking showing that the item is still in transit? If so, you could show that to customer service to show that the item hasn't been received yet. I could contact them cs through twitter or facebook.

To my knowledge, the end buyer in Japan, contacted the forwarding company with 3 scans of the postcard/envelope, bought for $ 0.50 on auction from an USA seller. "Wrong item"

The forwarding company opened a return claim against me, using my order, still in transit,,, contains 30 full sheet Stamps.

On the forwarders return claim to me, they showed the 3 scans of the Postcard/Envelope, and on the envelope was the US Sellers name/address. 

 

Yes, I have sent a copy of the postcard with sales information. showing it was from another seller. 

I  sent 3 scan of my parcel to the forwarder with the identification number they requested.

but it did not change the forwarder's decision.

The identification number is the same on the postcard order and mine. 

 

It has been very difficult to get hold of eBay customer service, but finally, I received an email with eBay's return policy. !!.  Later today, I have contact again, and I was informed they will look into my case..

The buyer in Japan of my order is concerning me, I hope he will receive the order he paid for, and the forwarder is able to sorting out the mix up the did with the identification numbers. 

 

Doing business with Japanese buyers the last +_ 15 years I agree 100 % extremely honest

Order sent as small packet air.

The issue for now  " not received"..  is not the situation.

 Key issue the mix up by the forwarder with the same 2 identification numbers
