Bookkeeping Question - Accrual Or Cash Basis Accounting? Software that can split gst,pst collected?

I searched this board for the word accrual but only turned out 2 irrelevant topics. I was wondering which method of accounting is used for eBay business bookkeping where one has inventory and continuously buys inventory throughout the year?

 

Is there a preferred program that works well with the way Ebay and Paypal handles transactions?  Quickbooks online has the EasyStart plan $10.40/month but I'm not sure how well it handles ebay business.

 

Are there programs that can decipher a paypal transaction and can split out the GST, PST collected and the transaction fee?

 

I registered an account with Wave since it's free but not really sure what chart of accounts I need to setup.

 

Hope to hear how others are doing their bookkeeping.

I wish you would ask this question using your selling account so one would have a better understanding of what you do.

 

In any case, if you expect to run a substantial full-time business, you should first consult a competent accountant familiar with the mail order business (that is what selling on eBay and online is all about) knowledgeable of your personal circumstances.

 

When it comes to calculation of your "cost of goods sold", you start with the inventory you had (at cost) at the beginning of the year, add purchases during the year, then subtract the inventory you have at the end of the year.  The result will be your "cost of goods sold" for the year.  Deduct that amount from your gross revenue for the year to arrive at your gross profit.

 

Finally, you deduct your business related expenses (fees, shipping supplies, postage, etc...) to arrive at your net profit.

 

Only the net profit needs to be reported for income tax purposes (line 135 of your tax return).

 

Several years ago I prepared a sample "profit and Loss Statement" for use by Canadian eBay sellers. Feel free to use it and modify it based on your needs:

Personally I never used computerized accounting system for my mail order business (eBay and website).  I prepared several individual schedules for sales, purchases and expenses and completed my statement of income from that information.  If you do not have the training to do that, let your accountant suggest what program is best for you in your circumstances.

Are you GST/HST registered?  "PST" what province do you sell from? Do all your sales get collected exclusively through PayPal?

Thanks for the reply. I sell in BC and GST/PST registered. All my transactions are through Paypal and Ebay. I plan to do my own bookkeeping and file income tax since I probably only net profit few thousand dollars through the year. I'm familiar with what to deduct for expense and calculating profit and loss. Just need to keep my books in order in case CRA wants to look.

 

Ebay doesn't charge a separate line for GST and PST on transactions. In ebay tax table I can only set one percentage so I set all provinces to 5% except BC, which I set 12%. Now if any bookkeeping software can decipher paypal transactions based on the BC address and automatically split out the GST and PST that will save me time when I need to remit the PST and GST.

You need to review how you have set things up. As for paypal you can download a csv into excel and plug in some simple formulas when it comes time to remit taxes. I've yet to find an accounting program that properly handles any data importing. As Pierre notes, for most people here there ebay business is not terribly complicated and the KISS principle applies. You seem to be just starting out so I'd recommend talking to an accountant. Many deal with sellers who are primarily ebay/paypal based and will be able to give you a few pointers.
