Note to reply to "item not received"

Does anyone have a good note to send to a buyer saying item was due today...please refund? It was a 0 feedback buyer and I have no tracking. I had a bad feeling right from the time of order.

 

I will refund but want to ask for a few more days in case it arrives and to suggest that I will contact his post office although I know that would be pointless. I am just hoping that if he did get itt will make him nervous enough to say it arrived.

Did the request for a refund come through the Resolution Centre? If so, it will tell you have many business days you have on the case to issue your refund; you're not obligated to send it immediately. 

 

If it were me, I'd say something like: I am genuinely sorry yo hear your order is late to arrive. I mailed it (date) at (postal location) and the delivery standard to your address is (number of business days). Certainly, if it has not arrived by (date ebay forces you to refund the amount) please know I will be happy to refund your payment with apologies. Mail really rarely if ever is lost so it is likely merely delayed in the mainstream or at Customs (if applicable) I will contact Canada Post tomorrow and get back to you with any updates I am given. Thank you for your continued patience. Please be assured that your satisfaction is important to us and you will not be left in the lurch over this. In the meantime, please confirm your mailing address with me now. Thank you and we will speak again soon.

I have found that when dealing with troublesome situations, the smarter (as in well-informed not smart***) that you sound, the easier it is to set the buyer's mind at ease. Use all the information that you have at your disposal.

you can just tell them item was shipped on ?? date, it should be there within the next couple of days, i am sorry for the post office's poor performance, if you have not received your item by the end of the week please let me know after fridays mail has come, if you have not received your item at this point i will go ahead and issue you a full refund ,i don't wish you to wait any longer, thanks for your time and understanding, .. your name..

This is what I send especially for items that had no tracking.  Feel free to use all or part of it.

 

Thank you for letting me know that the _______ has not arrived yet.   It should be there by __________ .

 

If it has not arrived by that date, please let me know.  I will then issue a refund and notify Canada Post to start an investigation.  They are excellent at investigating lost parcels, fraud, etc. - I will also need your telephone number to give them as they will want to contact you.
